Most corporate video production projects start in the wrong order: find a crew, watch competitor samples, ask for a price, and only then ask who the film is for. Purpose determines length, pacing and information density. A three-minute investor film dropped onto a homepage hero loses most viewers in the first fifteen seconds.
1. Four Purposes, Four Structures
| Purpose | Length | Structural focus | Playback context |
|---|---|---|---|
| Website hero | 60–90s | What you do, instantly | Muted autoplay |
| Sales and trade shows | 3–5 min | Capacity, certification, delivery | Booth loop, pre-meeting |
| Recruitment | 2–3 min | Environment, team, growth path | Career page, campus talks |
| Bids and reviews | 5–8 min | Solution logic and references | Meeting rooms |
Length is the least important difference. A hero film must work muted, so visuals and captions carry the message. A sales film gets watched in fragments, so every two minutes needs a segment that stands alone. A recruitment film stars employees, not equipment.
2. Split the Budget into Three Blocks
Ask for the quote split into pre-production, shooting and post-production, typically landing near 2:5:3.
Pre-production covers script, storyboard and location scouting. This is the block clients cut first and regret first: without a clear script, the shoot becomes "collect enough footage and fix it in the edit", which rarely fixes the logic. Shooting covers crew, gear, locations and travel, with days as the main variable. Post covers editing, grading, voiceover, subtitles and graphics.
Under budget pressure, protect pre- and post-production and compress the shoot into fewer, better planned days.
3. Three Script Sign-off Points
First, the outline: how many points the film makes and how much time each gets, with no visuals discussed yet. Second, the storyboard: what each shot contains, where it is filmed, who and what is needed. Third, the day-before call sheet: locations, people, props and schedule aligned.
Most rework happens after the second point. When a client says "we actually wanted to emphasise service" at the review stage, the footage is already shot. Moving that opinion to the outline stage changes the cost profile completely.
4. Working With the Crew on Site
Internal coordination affects the result more than the equipment. Name one person who can approve on the spot, so the set is not run by committee. Brief employees who appear on camera and hold half an hour of slack in their schedule. Schedule the processes you want to show during real production, not during a staged shutdown.
Staged shutdowns look clean but read as staged. Audiences notice the difference between work happening and work arranged for the camera, especially in industrial settings.
5. Five Acceptance Checks
Does the first fifteen seconds state the business? Do captions carry the message with sound off? Is the music balanced against the voice? Do key visuals match the narration? Does the delivery include landscape, vertical and square outputs?
Put the last one in the contract. A landscape-only film gets cropped badly on vertical platforms, and re-cropping costs more than delivering three ratios from the start.
6. FAQ
How long does production take? Three to five weeks from script sign-off for a standard project. Multi-location shoots or 3D animation take longer; agree the schedule in the contract.
Should we write the script ourselves? Supply the material and business logic internally. Let the production team write the script, since they know what can be shown rather than stated.
How do we choose a production company? Look at complete films rather than showreels, especially how they handled businesses that are hard to explain. Then check whether they insist on an outline before quoting.
