There are plenty of video vendors and most proposals look competent. Pitches go wrong not because the vendors are weak but because the client never wrote down who the film is for, how long it should be, where it runs and what the budget band is. The team guesses, and guesses cannot be compared.
Treat the pitch as a requirements exercise and the hit rate improves.
1. A Six-Line Brief
Use and placement: homepage, trade fair, channel event, recruitment. Four uses, four structures.
Target audience: distributors, end customers, candidates. Their questions differ completely.
Length and aspect ratio: three minutes or ninety seconds, horizontal or vertical — this sets the shooting volume.
Must appear: factory, production line, inspection, team. Which shots are non-negotiable.
Must not appear: unlicensed logos, unreleased products, confidential figures.
Budget band and decision date. Without a budget the proposals swing to two extremes: minimal or overbuilt.
Six lines on one page cut the communication cost in half and double as the acceptance basis later.
2. Pitch Timeline
| Stage | Client action | Vendor deliverable | Typical duration |
|---|---|---|---|
| Brief | One-page requirement | Confirmation, questions | 1–2 days |
| Proposal | Listen to structure, not visuals | Creative rationale, shot draft, quote | 3–5 days |
| Test shoot | Provide a real location | One-minute sample | 1 week |
| Award | Publish scoring criteria | Contract and schedule | 2–3 days |
| Production | Single point of contact | Shooting plan, call sheet | Per project |
The test shoot is the step most often skipped for lack of time. For industrial or medical subjects it exposes everything: on-site coordination, handling of contrast, audio approach.
3. Read Only Three Pages of a Proposal
The structure page: what happens from second to second. A proposal without structure is usually assembled in post.
The reference page: which films they referenced and why. A stated reference logic means the aesthetic is repeatable.
The execution page: who directs, who shoots, how many days, how many cameras. This page sets the floor of the output.
Beautiful creative rationale is a bonus, not a scoring criterion. Score structure, reference, execution and quote granularity.
4. How to Watch a Demo Reel
First watch a complete film, not a montage. Montages string the three best shots from each project and reveal nothing about narrative ability.
Then watch a film in your industry or of your type. Cross-industry work proves technique, not understanding.
Finally ask for a film they are unhappy with. A team willing to show a failure and explain it is usually more reliable.
5. Three Pitch Mistakes
Ranking by price. A low quote usually subtracts shooting days, and reshooting costs more in total.
Choosing by company size. Large teams put their best people on large projects; a smaller team may commit its lead creatives to yours.
Treating the proposal as a promise. The visuals in a proposal rarely match on-site conditions; the contract must define change procedures and cost calculation.
Commercial directors and corporate film teams differ: the former excel at fifteen-to-thirty-second intensity, the latter at multi-minute information build-up. For a channel film, weight the second type.
6. FAQ
How many vendors should pitch? Three. Two gives no comparison; four lengthens the decision and reduces each vendor's investment.
Should the brief include a budget? Yes, as a band. Without it, proposals cannot be aligned and the decision reverts to haggling.
Why do quotes differ so much? Shooting days, crew configuration and post-production volume. Split those three and the gap becomes explainable.
Can the script change after award? Yes, but define revision rounds and overage billing in the contract, or disputes surface during production.
